Design, Build, Venue Production and Site Operations for IFAD Governing Council 50

The International Fund for Agricultural Development (IFAD), a specialized agency of the United Nations based in Rome, Italy, hereby solicits proposals for a Lead Venue Production contractor that can design, build, produce the venue and manage site operations for the 50th edition of the IFAD General Council (GC). The GC will be held at IFAD Headquarters in Rome in February 2027. The Contractor will be responsible for the end-to-end design development, engineering, permitting, construction, operation, and dismantling of a the temporary conference venue based on the provided flow concept, including a temporary structure that can seat approximately 700 persons, housed in a large weatherproof structure next to the HQ building, including internal stages, seating, furniture, delegate facilities, covered walkways, temporary services, signage and the fit-out of multiple areas within the IFAD area. The scope requires not only simple tent installation, but also full venue production management, coordination with separate AV and event technology suppliers, event-time site operations, health and safety compliance, logistics management, VVIP and media support areas, temporary conversion of the President’s Dining Room into a high-level bilateral meeting suite, and complete post-event dismantling and site reinstatement. In essence, IFAD is procuring a turnkey partner that will work in unison with the A/V contractor (which will be managed separately).
