Media Services for the Structured Dialogue 7th June 2026

The media service company will be responsible for:

Pre-event Preparation

 

-       Coordination with UNDP/UNSMIL communications teams.

-       Site visit to Corenthia Hotel for technical planning.

-       Preparation of branding and graphic assets.

-       Installing LED Monitors or data show screens including concealing cables for safety

-       Install lights and sound system in sync with the interpretation system

-       Pre-test of audio-visual and lighting at the venue

During the Event

-       Full coverage of plenary sessions with audience pan (using the camera to film the crowd and/or speakers and broadcasting it live to the venues large screens, monitors, or overflow rooms.)

-       Deployment of 5 professional videographers and 2 photographers.

-       On-site editing and rapid turnaround of selected materials videos and photos.

-       Editing and montage on the sport of:

o   SRSG remarks

o   4 SD thematic videos

o   5-minute documentary about the full SD process from launch to final recommendations

o   Clips of interest from the rest of the plenary, including the open discussion and ceremony

-       Production of photo albums and visual summaries on daily basis

-       Delivery of all raw and edited materials in high-resolution formats on external storage organized by date, theme and session number

-       Compliance with UN branding and quality standards.

A.     Deliverables

-       Videos as they happen: (SRSG remarks, 4 SD thematic videos, other events as directed)

-       Photo sets (maximum 50 edited)

-       Final event video (3–5 minutes) telling the story of the SD (Arabic and English)

-       Packaged b-roll for media release

-       All raw footage and images. Conduct full documentation of plenaries and other meetings as directed etc.

-       Submission of all the final products and raw materials (videos or photographs) by all possible means online if viable and offline on external storage unit (s)

-       Produce a systematic archive for easy reference and future utilization of the videos and photos – labeled with date, location, caption and a reference code/number (in the external storage unit (s))

-       Ensure consent of women in particular while taking photos or videos
