Description
The United Nations Office at Nairobi (UNON) invites suitably qualified firms to submit their Expression of Interest (EOI) to participate in the upcoming competitive bidding exercise for the provision of managed printing services for the United Nations office at Nairobi (UNON) and participating UN Agencies. The United Nations Office at Nairobi (UNON) intends to establish a long term contract for the provision of Managed Printing Services to support UN agencies and programmes operating primarily at the Gigiri complex, with potential extension to affiliated offices within the greater Nairobi area. Purpose of the Requirement: The objective of this requirement is to ensure the continuous availability of reliable multifunction printing, copying, and scanning services that: • Improve operational efficiency and user productivity; • Enhance document and information security; • Support predictable and transparent cost management; • Reduce environmental impact through energy efficient technologies and responsible resource use; and • Provide scalable and resilient support services aligned with UN operational needs. Indicative Scope of Services: The selected service provider will be required to deliver a turnkey managed print solution, including but not limited to: • Supply, delivery, installation, configuration, and commissioning of approximately 200 low and medium volume multifunction devices; • Preventive and corrective maintenance, including proactive monitoring and break fix services; • Supply and management of consumables (excluding paper); • Fleet management, usage monitoring, and baseline reporting; • On site and remote technical support; • Training for end users and designated technical staff; and • End of contract transition support. Sustainability and Security: The managed print solution is expected to align with UN principles on sustainability and environmental responsibility, including energy efficiency, waste reduction, and responsible end of life management. Robust security controls for users, devices, networks, and data will be essential. Purpose of the REOI: This Request for Expression of Interest is issued solely to identify vendors with the baseline operational capability and readiness to deliver managed print services of the type described above. It is not a solicitation, does not involve evaluation of pricing or detailed technical solutions, and does not constitute a commitment by UNON to issue a subsequent tender. Only vendors demonstrating minimum capability, local service readiness, and relevant experience will be considered for invitation to the next stage of the procurement process. Please refer to the assessment criteria listed in the Self Declaration Form. The contract resulting from a tendering exercise that will be undertaken subsequent to this REOI is anticipated to be awarded for an initial period of three (3) years with the option to extend for additional two (2) years. Specific Requirements/Information IMPORTANT: Please note that this REOI is not an invitation for submission of tenders. Its purpose is to identify companies that would be interested and eligible to participate in the solicitation when issued. UNON reserves the right to change or cancel the requirement at any time during the EOI and/or solicitation process. Thus, submitting a reply to this Request for EOI does not automatically guarantee your company will be considered for receipt of the solicitation when issued. Vendors that are deemed qualified upon completion of an objective evaluation of their EOI submission will receive the final tender solicitation documents.
