Provision of a comprehensive end-to-end event Facilities Management and Logistical Services for the PlanetGOLD Global Forum and Annual Program Meeting, to be held on 22 – 25 September 2026 in Panama City, Republic of Panama.

The United Nations Office at Nairobi (UNON), on behalf of UNEP, intends to undertake a competitive solicitation for the provision of comprehensive, end to end event facilities management and logistical services for the planetGOLD Global Forum and Annual Programme Meeting 2026, to be held from 22 to 25 September 2026 in Panama City, Republic of Panama. The event will convene international stakeholders engaged in the artisanal and small scale gold mining (ASGM) sector, including government representatives, international organisations, NGOs, private sector partners, and project beneficiaries. The scope of services under the planned solicitation will cover two mandatory components: (i) Conference venue, catering, and accommodation services, and (ii) Audio visual equipment and full technical event support. The Global Forum (22–24 September 2026) is expected to host approximately 190 participants per day, while the Annual Programme Meeting (25 September 2026) will host approximately 75 participants, including a smaller executive meeting segment on the final day. The selected contractor will be responsible for providing conference facilities (main meeting room and breakout rooms), catering services, hotel accommodation blocks, exhibition or lounge spaces, and audio visual and technical event production, in accordance with detailed specifications that will be issued at the solicitation stage. Simultaneous interpretation services will be sourced separately Services will be required on site in Panama City, including participation in a technical rehearsal on 21 September 2026, prior to the start of the event. This Request for Expression of Interest (REOI) is issued solely to identify suitably qualified vendors. Only vendors shortlisted through this REOI will be invited to participate in the subsequent competitive bidding process. Additional details, specifications, and terms of reference shall be provided in the tender document to be issued subsequent to this REOI.
