Description
The United Nations (UN) seeks to establish a non-exclusive contract with qualified service provider(s) for the Provision of Mailing/Tracking Software License/Subscription/Maintenance, Equipment Rental/Maintenance Services, and Purchases of Devices/Consumable Supplies. The anticipated duration of the contract is three (3) years, with the option to extend for two (2) additional one (1) year periods (i.e., a total of five (5) years), at UN's sole descretion, subject to a satisfactory performance by the Contractor. The UN does not guarantee a minimum or maximum number of services and/or goods will be procured each year or for the life of the resulting contract. The Request for Proposal (RFP) does not commit the UN to award a contract nor pay any costs incurred by the Proposer in the preparation of the proposal. The Mail Operations Unit (MOU) of the UN provides mail and UN diplomatic pouch services across the globe and messenger services within the UNHQ, NY. MOU has been utilizing the following products to automate the work and increase efficiency: 1. A customized software application Send Pro Enterprise (SPE) and Send Suite Tracking (SST) developed by Pitney Bowes also known as iTrack for generating and tracking shipment requests for messenger, courier, USPS and diplomatic pouch materials, and for processing inbound mail. 2. Two (2) Mailing Machines (DM SendPro P300), two (2) United States Postal Service (USPS) Postage Meters, Postage Fund Reserve Account service, and an accounting software application for tracking the mailing usages of sending the UN mail through USPS. 3. Equipment and devices that are certified compatible and/or with a license for the i-Track system. The equipment and devices include but not limited to Personal Digital Assistant (PDA), Tag and Label thermal printers, desktop weighing scales and handheld scanners. 4. Consumable supplies for the mailing machines such as ink cartridges, postage tapes, printheads, envelop sealer liquid, ribbon, etc. Specific Requirements/Information The vendor is required to provide the following services: a) Service and maintenance for iTrack Shipping and Tracking System via Software Maintenance Agreement (SMA). Software Subscription and Licensing Services. b) Service and maintenance for equipment of two (2) mailing machines through Service Level Agreement (SLA). c) Rental service for two (2) United States Postal Service (USPS) Postage Meters. d) Postage Fund Reserve Account Service for fund replenishment for two (2) Postage Meters. e) Software Subscription Service for the accounting software application. f) Provision of equipment/peripherals such as PDAs (Personal Digital Assistants), thermal printers, weighing scales, handheld scanners. The equipment/peripherals must be compatible and/or licensed with the i-Track application. g) Provision of consumable supplies such as ink, postage tape, sealant, and ribbons for the mailing machines.
