PART 1 – BACKGROUND This Part provides background information. 1.1 Project Overview The United Nations Economic and Social Commission for Asia and the Pacific (“ESCAP”) is seeking information about potential methods for providing food services and operation of relevant facilities at the United Nations Regional Headquarters located on Rajadamnern Nok avenue, Bangkok, Thailand (“UN Buildings Complex” or “UNBC”). The UNBC is the third largest complex owned by the United Nations, houses the offices of ESCAP, UNDP, UNEP, UNCDP, UNFPA, UNAIDS, UNIFEM, UNHCR, ILO and UNIS with approximately 1,900 employees on site. The complex comprises of two (2) office buildings and one (1) conference centre building, which is one of the largest convention facilities in Asia, occupies approximately 18,600 sq.m. of land, provides full conference services to UN Agencies, Funds and Programmes, and external clients. In the past three (3) years, the UN Conference Centre (“UNCC”) has held an average of more than 2,700 meetings annually with an average of approximately 6,300 monthly meeting participants. ESCAP is seeking for a provision of the coffee and quick meal services at the following facilities: a) Rajapruek Lounge: Rajapruek Lounge is a coffee kiosk located on ground floor next to the UNCC’s main lobby. It is complete with cooler display and storage areas as well as coffee and specialty beverage equipment and dining areas. Full service could offer specialty coffee, beverages, teas, and quick meal such as pastries, snacks, sandwiches, etc. b) Coffee Corner: Coffee Corner is located right next to UNCC Hall on the second floor of the UNCC building. The coffee corner has a total area of 50 sq.m. 1.2 Purpose of the RFI The purpose of this letter is issued for information and planning purposes to assist ESCAP in designing and maintaining the coffee and quick meal service program and operation of relevant facilities for the UNBC that meets the needs and enhances the quality of life for the UN employees and meeting participants. The current food service agreement under ESCAP will end in July 2019. It is expected that the new service program meets the following objectives: a) To provide a variety of appetizing and nutritionally sound food options and styles of cuisine that support employees and meeting participants’ diverse needs and enhance their dining experiences. b) To provide convenient operating hours which are responsive to the needs of the UNBC workforce. c) To maintain efficient and effective operations while keeping costs at a reasonable level. d) To offer catering services and food options which supports ESCAP’s initiatives on Sustainable and Environmentally sound practices. It should be noted that this RFI is being sought strictly for the purpose of gaining knowledge of services and supplies available, and should not be construed as intent, commitment, or promise to acquire services, supplies, or solutions offered. Although selection of a coffee and quick meal services provider may be affected by the responses of interested parties to this RFI, no contract will result from any response to this RFI. Information submitted in response to this RFI will become the property of ESCAP. ESCAP will not be financially responsible for any expenses incurred in providing information solicited. PART 2 – INFORMATION TO BE PROVIDED This Part details minimum information suppliers are required to provide to ESCAP: 2.1 General Information a) Supplier name (Trading and Registered) and registered address. b) Company history and years in business. c) Type of service performed and operating locations. d) General overview of the company structure, number of employees, number of company outlets (where applicable). 2.2 Past Performance and Capabilities a) Company’s area of specialty and expertise with regards to the nature of services described above. Looking at the requirements at UNBC noted above, what recommendations / suggestions would you propose for the provision of food and beverage services. Please also indicate where possible the company’s environmental sustainability considerations in the food and beverage service area. What would the company foresee as possible challenges. b) Additional services, products and works provided outside of your core business. c) Details of key health and safety, environmental and other performance measures. 2.3 Supplier Financials a) Overview of company’s financial health. b) Details of held insurances relevant to the opportunity. c) Details of potential funding arrangements, lines of credit, etc. to support investment in the opportunity (if relevant). 2.4 Certifications and Awards a) Details of all certifications held including date of last certification/recertification and details of the certifying body (copies of certifications may be appended to your response). b) Details of any recent external corporate awards, including the awarding body, if relevant to the opportunity. 2.5 Policies a) Details of all major supplier policies, including Health and Safety, Environmental/Sustainability, Corporate Social Responsibility initiatives, Employee Relations and Local Participation. 2.6 Other Information a) Any further information you believe the company may require in support of its RFI review activities.
