Description
The United Nations Office at Nairobi (UNON), on behalf of the United Nations Environment Programme (UNEP), invites qualified interested firms to submit an Expression of Interest (EOI) to participate in the upcoming solicitation for the Provision of Conferencing services for UNEP Multilateral Fund Secretariat (MLF) in Downtown Montreal, Quebec, Canada. The main objective of MLF is to assist developing country parties to the Montreal Protocol in complying with its control measures. The Fund Secretariat, located in Montreal, assists the Executive Committee in its tasks. MLF holds two Executive Committee meetings annually in Montreal, Canada. These events typically last for five (5) to six (6) days. Various sizes of conference rooms are required for these occasions, including a registration area. Expected Scope of services includes: (a) Conference Hall: One Plenary Hall to seat 130 to 150 participants with 2 screens, classroom style, 1 projector and space for 6 interpretation booths or space to accommodate the same. (b) Other meeting rooms (i) One meeting room to accommodate 60 participants with 1 screen and 1 projector (round table style); (ii) One meeting room to accommodate 30 people (round table style). (c) Offices and space (i) One office with square desk set-up and seating arrangement to accommodate 15 people; (ii) One office that allows network setup facility for document sharing for 15 people. (iii) One office, executive style setup, one desk and seating arrangement to accommodate private meetings for 5 people. (iv) One office, executive style with one desk and seating arrangement to accommodate private meetings for 2 to 3 people. (v) Registration area with reception desk to accommodate 3 people, to allow set-up of one computer, printing facility and photocopier for light printing. (vi) One small office to be used as prayer room. (vii) Storage area for equipment. All rooms should have fast, stable, and high-speed internet access. The complete details of the requirement will be provided in the tender documents that will be issued to bidders after this request for EOI is closed.
