UNCC Modernization Project - Phase III: Supply and installation of Conferencing and AV Equipment and LED Video Walls for Conference Room 1, United Nations Conference Centre, Bangkok

1. The United Nations Economic and Social Commission for Asia and the Pacific (hereinafter referred to as “UNESCAP”) solicits Expression of Interest (EOI) from qualified Companies to undertake a project for supply, installation, commissioning and testing of Conference Management and Simultaneous Interpretation (CMSI) System, AV Equipment and LED Video Wall for Conference Room 1 (CR1) at the United Nations Conference Centre (UNCC) in Bangkok, Thailand. 2. Following the recommendation from the Office of Information and Communication Technology (OICT) in New York, the United Nations Conference Centre (UNCC) in Bangkok, Thailand, initiated a multiyear project to modernize its conference and audio-visual facilities. This project aims to streamline various standards and platforms used for audio-visual broadcasting and simultaneous interpretation systems at the UNCC. The Phase I of the project was started in 2019, with successful upgrade of Conference Room 3, followed by Phase II of the project involving upgrade of Conference Room 4 in 2022 and Conference Room 2 in 2023. Currently, work is in progress to upgrade Conference Room 2, with an expected completion date of December 2023. 3. Conference Room 1 will have a different set-up from other Conference Rooms at the UNCC, being flexible to accommodate various seating arrangements. The current parliamentary-style seating arrangement will be removed - both on the floor and on the headtable -, creating an open area that could be furnished for various seating arrangements including round tables. 4. The Project plans to upgrade all Audio-Visual systems, as well as associated facilities and their accessibility features in Conference Room 1. This includes Conference Management and Simultaneous Interpretation (CMSI) System, Cameras, Video Production, LED Video Wall Displays, Sound Reinforcement, Carpets, Wall Coverings, Cable Trays, Interpreter Booths. 5. While the Phase III of UNCC Modernization Project has both facilities and audio-visual components this EOI is only for the audio-visual portion of the project and is divided into following 2 Packages with option to award contract for both the packages to one vendor or each package to different vendors: PACKAGE 1 – Conferencing and AV Equipment: Includes supply, installation, integration, testing, and commissioning of Conference Management and Simultaneous Interpretation System (CMSI) and audio-visual equipment. PACKAGE 2 – LED Video Wall: Includes supply, installation and commissioning of LED modules, cabinets and associated equipment forming 4 video wall displays for Conference Room 1. 3 displays shall have a dimension of 4.80m x 2.88m and one main display at the back of the stage will have a dimension of 6.24m x 5.46m. 6. Detailed conceptual design, drawings and technical specifications shall be made available for complete compliance. 7. Specific Requirement of work is also described briefly in the next section and vendor's responsibility shall be supply, installation, integration and commissioning, along with training on operation and maintenance. The vendor shall also propose a long-term preventive maintenance plan for the system covering 3 to 5 years' post-installation and commissioning period. SPECIFIC REQUIREMENTS PACKAGE 1 – Conferencing and AV Equipment: Supply, installation and commissioning of a fully integrated CMSI and Audio-Visual System comprising of the following basic features and subsystems: i. Digital Conference Management and Simultaneous Interpretation System having: ii. Interface to Large Screen displays (4 LED Video Walls as per the PACKAGE 2 below); iii. Interface to Robotic Video Camera Control system; iv. Interface to Sound Reinforcement systems; v. Interface to Data & Video Production & Distribution Systems; vi. Future provision of interface to Digital Signage and Digital Nameplate System; vii. Interface to Videoconference system and virtual platforms viii. Interface to control system ix. Interface to Sign Language Interpretation PACKAGE 2 – LED Video Wall: Supply, installation and commissioning of the following components of video wall: i. 3 Nos. of LED Video Wall each having a size 4.80m x 2.88m; ii. 1 No. of LED Video Wall with a dimension of 6.24m x 5.46m iii. Receiving Cards with Software; iv. Video Wall Controller and Processor and v. Support Structure
