UNEP CHAMPIONS OF THE EARTH AWARD CEREMONY AND GALA DINNER

UNON, on behalf of United Nations Environment Programme (UNEP), seeks to contract a top-notch, reliable, creative and highly professional events management firm to provide event management services during the UNEP Champions of the Earth Award Ceremony and Gala Dinner to be held on the margins of the final session of the United Nations Commission of Sustainable Development in the week of 7 May 2013 in New York City, USA. Background: The Champions of the Earth is the United Nation's flagship global environmental award which was established by UN Environment Programme in 2004. Tagged as the 'Nobel Prize' for the environment, the Award recognises and distinguishes environmental heroes in the fields of Policy Leadership, Science and Innovation, Entrepreneurial Vision, and Inspiration and Action. Our laureates include those whose track records of contribution to environment work have resulted in a significant impact or influence on the management of resources and protection of the environment, and serve as an inspiration for transformative actions across the world. These include Filipe Calderon, Mohamed Nasheed, Tsakhia Elbergdoj, Al Gore, Mikhail Gorbachev, Marina Silva, Vinod Khosla, among others. The Champions of the Earth laureates are invited to a high-level Award Ceremony and Gala Dinner to receive their recognition. The event is also designed to help generate global publicity for the winners in order to encourage the replication of their achievements. Objectives: - Strengthen the leadership profile of the Champions of the Earth Awards - Organise a high-level, prestigious, and engaging event that can help showcase the innovative initiatives and exemplary work of the laureates to relevant stakeholders. - Leverage the global profile, expertise and influence of selected past and present laureates in raising the profile of UNEP and its work on the political and public agenda. Format: - Press conference to announce the 2013 winners to be attended by 50 to 70 media representatives, the laureates and UNEP officials - Cocktail reception for 300 guests, with background entertainment - Award ceremony and gala dinner (sit-down) for 300 guests that will be attended by Heads of State, Ministers, head of missions, other members of the diplomatic community, representatives of the civil society and other CSD delegates/participants Scope of work: 1. Press Conference - Set-up of venue to include a head table for the panelists, backdrop, theater set-up for the attending media, podium for the covering broadcast media and photographers, sound system and afternoon tea/coffee and snacks for the attendees. 2. Award Ceremony - Stage management & direction - Professional emcee - Entertainment - Programme run-time and script for emcee - Video & photo documentation 3. Staging & Logistics - sourcing, coordination, set-up & dismantling - Venue set-up, branding banners, floral arrangements, table centerpieces ,other decorations - Stage, backdrop, lectern - Stage & venue lighting - Wide screens on stage, AV projection systems with live feed provisions - Sound system and programme music - Registration, ushering & reception / operational staff 4. Reception & Dinner - Dinner set-up, including linens and table centerpieces 5. Greening of the events - Adopting all necessary measures to ensure the event is environmentally friendly and follows sustainability standards (menu selection, decors, e.t.c)
