The United Nations Office at Nairobi (UNON) invites qualified firms to submit an Expression of Interest (EOI) to participate in the upcoming competitive bidding exercise for the supply and installation of Office System Furniture for the United Nations Offices At Nairobi (UNON), Kenya for a period of three years with an option to extend for two additional consecutive years (3+1+1). 1. Background: The United Nations headquarters in New York, and offices around the globe are moving towards making their offices climate-neutral and environmentally sustainable, and to see the renovated headquarters, and other complexes eventually become globally acclaimed models of efficient use of energy and resources. Beyond this, the initiative also incorporates flexible workplace, a new way of working, that enables staff to have greater choices to select the space they wish to use, when and how they want to use it, offer a greater choice of where they would like to work, and to connect to the network wherever they need to. In Nairobi, UNON, is moving towards these changes offering a “Nairobi Flavour” of flexible workplace practices throughout the campus, both indoor and outdoor. UNON is currently in the process of developing flexible workplace strategies, including but not limited to, pilot programs for testing inspirational flexible workplaces with integrated modular meeting and collaboration zones, and thereafter further proposals to roll-out flexible workplace utilization within the renovated offices of the Secretariat buildings at the complex. The UNON complex comprises approximately 142 acres, 40 buildings of mixed office and commercial space and hosts approximately 50 UN agencies, funds and programs. The compound currently accommodates a population of approximately 3,500 staff in over 67,000 square meters of office, conference and common built space. 2. Scope of Work: (2.1) To include the supply and installation of inspiring, reconfigurable Office System Furniture within the renovated spaces and zones that will include, but not be limited to the following: a) Supply and install various types of new furniture as ordered to furnish various collaborative zones, quiet, landing & rejuvenation zones etc. within the newly refurbished flexible pilot workspaces. b) Provide a wide range of individual furniture designs with various materiality options shall potentially include, but not limited to: - I. Teamwork-focused, contemporary and adaptive single & dual workstations II. Adaptable desk armchairs & contemporary swivel chairs with footrests III. Hydraulic height-adjusting desks complete with integrated cable management accessories IV. Hydraulic desk convertors V. Remixed artisan upholstered furniture VI. Modular lounge movables with freestanding acoustic boundary screens VII. Acoustic high-back single & 2-seater pods fully upholstered VIII. Stool chair hybrids IX. Slim-line standing height tables with footrests X. Ergonomic office chairs XI. Meeting media pods complete with cable management accessories for digital presentations XII. Mobile team charts/ marker boards/ presentation screens XIII. Weatherproof high- and low-level seating and tables XIV. Hybrid storage lockers and systems complete with integral locking systems XV. Work café zone furniture and counters XVI. Accessories to include footstools, mobile stools, integrated planters, tool holders and trays. (c) The furniture package shall demonstrate a wide, versatile range of products to accommodate different types of dynamic work zones within the workplace neighborhood, including but not limited to, activity based working and open office space environment, enclosed Director-level offices, enclosed meeting room spaces, collaborative spaces within the office space wings as well as collaborative spaces within lobby areas, expanded hallway areas, and contemporary office swing space. (d) The furniture provider shall install all necessary components and cable management accessories to provide electrical power within the work points. All wiring and components of the electrical system and LAN shall be concealed and installed in conformance with the host country regulations. It is highly desirable that this furniture package include the various furniture IT integration accessories to accommodate a contemporary and dynamic work environment. Such technologies, shall include, but are not limited to: wall mounted meeting room / conference room reservation technologies, computer screen monitor mounts with wide range of height adjustment (to provide an acceptable range of ergonomic functionality), totem pole mounts for screens in meeting rooms, and other technologies necessary for the modern flexible work environment. (2.2) The supply of furniture as well as the programming and planning layouts, shall be implemented in several phases,in coordination with the renovation works contractor and the in-house Project Team. (2.3) Bidders will be required to provide their product catalogues and allow the United Nations Office Nairobi (UNON) to purchase or offer a lease option from the catalogue if required. In this regard, UNON intends to contract a vendor(s) for the the supply and installation of Office System Furniture for the United Nations Offices At Nairobi (UNON), Kenya. The complete details of the requirement will be included in the tender document that will be issued subsequent to this EOI. UNON invites companies to express their interest by filling out the vendor response form and sending it either electronically or via email. Interested vendors may forward their Expressions of Interest (EOI) along with the signed vendor forms and furniture catalogue to eunice.mapenzi@un.org, unon-procurement-rfx@un.org by 17 February 2020 IMPORTANT: Please note that this REOI is not an invitation for submission of tenders. Its purpose is to identify eligible vendors that would be interested to participate in the related upcoming requirement. The complete detail of the requirement will be issued to bidders after this request for EOI is closed. UNON reserves the right to change or cancel the requirement of this EOI at any time during the EOI and/or solicitation process. Submitting a reply to this REOI does not therefore automatically guarantee that your company will be considered for issuance of the solicitation documents. Only vendors who, in the UN's sole discretion, are deemed eligible and qualified, upon completion of an objective evaluation of the EOI submissions, may receive the final tender solicitation documents.
