Description

The purpose of this Request for Information (RFI) is to provide the United Nations Office at Geneva (UNOG) with the latest knowledge of the market solutions related to Multi-function Printer Services (MFPS).

 

The UNOG expects to follow this RFI with a Request for Proposal (RFP) for MFPS that will be able to meet the operational requirements of UNOG. The information gathered from this RFI will be used to determine the feasibility, scope, timeframe and resources required by UNOG.

 

The high-level requirements which must be demonstrated in the response to this RFI are as follows:

 

- Ability to offer a wide range of cost-effective managed services, including printing, copying, faxing and scanning, in black-and-white (B/W) and colour;

- Capacity to provide the necessary supporting back-end systems for Multi-function printers (MFP) that must allow for users to print to a shared print queue and retrieve their documents at any machine via login, pin, badge, etc., as well as having access to other MFP functions such as copy and scan;

- Printing paper and toners with MFP;

- Customised offering;

- Help desk solution as well as multi-vendor support and maintenance;

- Production printing services for high volume requirements;

- Effective service for business process improvement/automation in relation to the evolving technology and the market evolution, ranging from flexible models and information management and security, to innovation, and incorporation of paper and digital process;

- Software and automated workflow solutions;

- Description of existing pricing mechanisms, including cost-per-copy;

- Ability to offer deliveries in the form of monthly lease, short-term conferences and emergencies;

- Certification of environmentally friendly products.

 

Responses to this RFI should not exceed 25 pages. Please ensure any materials provided in support of this

are tailored to the requirements described and not generic to other services you may provide.

 

Responses will not be treated as proposals, but may be used to create any subsequent Request for

Proposal (RFP). Respondents should clearly mark any proprietary information submitted in response to this RFI.

Upon receipt of responses to this RFI, UNOG may request vendors to demonstrate their products/solutions.

Demonstrations will be intended to provide information to UNOG and will not be subject to an evaluation.

UNOG will not be responsible for any costs incurred by the vendors related to the response to this RFI or

any other activities related to preparing, conducting, or travelling to or from the demonstration's location.
