Description

MOFA and UNDP Ethiopia have initiated a project that aims to establish efficient, effective and IT-supported modern systems at MOFA and one area that has been identified is the Documentation and Archiving System. The archives comprise voluminous official documents and records, some of which are over one hundred years old. All documents are stored manually as hard copies. The documents include: bilateral and multilateral agreements, records related to international institutions and UN agencies, foreign missions in Ethiopia, Ethiopian Missions abroad, Ethiopian institutions and internal documents such as employee files, among other important documents.

These valuable documents are difficult to access due to poor documentation and record management systems that adversely affect the ability of MOFA to respond to key issues as well as make informed decisions. As part of the process to modernize the systems, a recent gap analysis study made recommendations that include among others, the need to reorganize the archives and digitize key documents to facilitate easy accessibility and reduce paperwork.

This consultancy therefore aims at developing a modern documentation and archiving system that is supported by IT solutions in order to facilitate secure storage, access and retrieval of documents to facilitate decision making and secure institutional memory and facilitate knowledge management

The following proposals must be prepared as per the prescribed standard format indicated in the respective RFP Bid Document. The Proposals shall be submitted before application deadline jULY 28, 2015 via UNDP Ethiopia Secured mail address: procurement.et@undp.org
