Description
This RFI is issued by the United Nations Office in Geneva (UNOG) to identify potential technical solutions for desktop-installed PDF software solution. The solution must support a wide range of PDF editing, security, collaboration, and publishing features, with enterprise-grade deployment and support capabilities. UNOG would be very intersted in knowing technical details of solutions your Company is able to share with the UN and the catalogue prices. Current estimated quantity is 20,000. Specific Requirements/Information Feature Requirements: Document Editing & Creation - Edit text and images in PDFs - Add, delete, and reorder pages - Merge and split PDF files - Create PDFs from Word, Excel, PowerPoint, or images - Convert PDFs to editable formats (DOCX, XLSX, PPTX, TXT, RTF) - Add watermarks, headers, footers, and page numbers - Create and edit bookmarks and table of contents - Reorder pages, delete extras, and add new ones in scanned PDFs - Review and rearrange paragraphs in publication PDFs - Ability to make changes to format, bleeds, imposition Security & Compliance - Password protection and encryption (AES-256 or better) - Redaction of sensitive content - Certificate-based digital signatures - Show basic signature properties (e.g., who signed, when) - Compliance with PDF/A, PDF/X, and PDF/UA standards - Integration with identity providers (SSO, LDAP, Azure AD) Forms & Signatures - Create fillable PDF forms (text fields, checkboxes, dropdowns) - Auto-form recognition from scanned documents - Integration with e-signature platforms - Signature validation and certificate management - Support multiple digital signatures on the same document Advanced Features - Optical Character Recognition (OCR) for scanned documents - Batch processing (e.g., batch OCR, batch conversion) - Compare documents side-by-side - Document versioning and revision tracking - Accessibility tagging and remediation tools - Multi-language support and multi-language interface - OCR must support 6 official UN languages - Handle poorly scanned or column-formatted documents Print & Publishing Tools - Prepress tools (bleed marks, color separations) - Flattening layers and transparency - Print optimization for high-volume or large-format output - PDF optimization and compression - Support for imposition (e.g., double imposition for A5 files) - Format modification and adjustment - Add blank pages, retouch customer files, and check color profiles (RGB/CMYK) - Integration with PitStop Pro and external modules Integration & Automation - SharePoint and OneDrive support - Document Management System (DMS) compatibility - View and edit PDFs stored in SharePoint with real-time updates Enterprise Management & Support - Centralized license management and deployment - Role-based access control and delegated administration - Usage reporting by department or entity - Offline functionality (no cloud dependency) - MSI/EXE installers for enterprise deployment - Helpdesk and ticketing system - SLA-backed support tiers - Onboarding and training resources - Dedicated account manager Collaboration & Teamwork - Highlighting, commenting, and sharing - Track changes and annotations - Create reference materials with bookmarks Mobile & Workflow - Mobile scanning and OCR capability.. - Prepare invoices by combining files and adding visible text or tables - Sign files that may not support digital signature fields Accessibility - The tool needs to be accessible, screen reader-friendly, with alt text and other features. - Conform to best in industry accessibility standards - Multi language support, especially for the 6 official UN languages This RFI does not constitute a solicitation.
