UNES-2179/2024 - Long-Term Agreement LTA which aims to provide services for the realization of events, including planning, organization, coordination, execution and evaluation.
United Nations Educational, Science and Cultural Organization (UNESCO) hereby invite qualified companies to submit electronic tenders as follows:
Establish multiple Long-Term Agreements - LTA with up to 4 specialized companies for planning, organization, coordination, monitoring, execution (providing services, equipment, materials, facilities, budgeting, invoicing), accountability and evaluation of in-person, online and hybrid events. It also includes management, monitoring and administrative and financial support in accordance with the needs and requirements established by UNESCO.
UNESCO is the lead agency responsible for conducting the bidding and signing the Long-Term Agreement resulting from this tender, which may be used by other UN AFPs interested in the services foreseen in this notice.
The LTA signatories, commit to provide the services when awarded in specific events contracts and purchase orders resulting from this LTA, as well as to participate in secondary quotations, if requested, where they must present their quotation for the lowest, best and final offer of the items required to carry out each specific individual event contracted under the scope of this LTA.
New technological tools and solutions through platforms and/or systems for managing, monitoring, controlling, providing and reporting events are fundamental and must be a reality for companies selected. Such solutions and their dashboards must be available to UNESCO and AFPs as monitoring and control tools.
The following group of services/item will be required during the period of validity of the LTA: Accommodation and physical spaces (such as meeting rooms), Food (Catering), Transportation, Equipment, Pre-meeting advisory services, Human Resources for events, Health care related to events, Cleaning and sanitation, Decoration and Signage, Consumables and Office Supplies, Furniture rental, among other events related services. For this purpose, a mandatory price table with the list of services covered by the LTA is an integral part of the solicitation document.
The working language of this LTA is portuguese and the prices established in Brazilian reais (BRL). Potential bidders should have authorisation to operate in Brazil.
A SLA – Service Level Agreement shall also govern the execution and operations of the LTA hereto.
