Microsoft Exchange Consultancy Services
The ICC – ICT section requires a solution (hardware, software, services) to migrate the ICC email system from Microsoft Exchange 2003 to the current industry standard version of Microsoft Exchange. In addition, the ICC will require additional resources such as professional services, training, support, documentation and so forth.
Solution Scope and Strategic Fit
This Expression of Interest document relates to the specification of requirements for a transition of the ICC’s existing email system to a newer version. This includes integration with related and dependent services such as Symantec Enterprise Vault, Fenestrae Faxination, and Cisco Call Manager as well as with internal mail relay gateways and the corporate Symantec Netbackup landscape.
ICC seeks a solution proposal that will be divided into 4 major stages:
Initiation Stage: —Statement of Work (SoW) document that reflects the goals and objectives of the key stakeholders of the project.
Planning Stage: Production of the documents (Initial Design Document, Initial Migration Document and Migration Schedule).
Prototype Stage: Final Design Document, Final Migration Document, Final Migration Schedule (Gantt chart), Server Build Documents, Configuration Document and Migration Checklists, Maintenance Documents, and Training Documents for End-Users and Administrators.
Implementation Stage: As-built documents for all servers.
The ICC will provide all software and hardware necessary for this project. The winner of the RFP will provide the necessary consultancy resources to complete this project.
Enterprise Vault storage
An important part of the project is to migrate from the present archiving system (Symantec Enterprise Vault) to the new Microsoft Exchange system. It is expected that the consultant(s) will work together with the Symantec Enterprise Vault consultant, the Fenestrae Faxination consultant, the Cisco Unity consultant and the Storage consultant
Goals of the Migration Project
- Improve the quality of the email service
- Improve Availability through Business Continuity/Disaster Recovery (Virtualization, Storage, Backup-and–Restore process optimization)
- Improve the flexibility and mobility of facilitating remote access in a scalable way.
- Improve operational processes by expanding collaboration possibilities such as storage, public folders and integration with third party applications
- Improve the Serviceability (administration, management, deployment)
- Improve Performance (memory allocation improvements, public folders, E-mail)
- Improve the overall E-mail system security.
- Integrate the E-mail system with the System Center Operations Monitoring system, the Anti- Spam and Anti-virus systems.
- Restore archived E-mails from Symantec Enterprise Vault to Microsoft Exchange and retire the system. Integrate the archived E-mails with the new Microsoft Exchange environment.
To improve the rational usage of resources that have a cost impact
It is expected that the consultant(s) provide formal proposals related to improving the capacity, supply, type of technologies, process improvements, security improvements and to suggest support and administration development requirements as well as the overall possibilities the new environment will provide to the organization.
