UNON, on behalf of United Nations Environment Programme (UNEP), seeks to contract a qualified, creative and highly professional Events Management firm for event management services during the UNEP Sasakawa Prize Reception & Gala to be held on 20 February 2012 at the United Nations Complex in Nairobi, Kenya. Background: The UNEP Sasakawa Prize will celebrate 25 years of successful partnership with UNEP at a reception and gala dinner as part of the 12th Special Session of the UNEP Governing Council and Global Ministerial Environment Forum (GC/GMEF) on 20 February 2012 at the United Nations Complex in Gigiri, Nairobi, Kenya. The Prize was an annual award previously granted to an individual or an institution that has made a substantial contribution to the conservation and sustainable management of the environment. Apart from serving as an exit activity that will recognize the Prize's legacy, the event will have the added special significance and prestige of serving as UNEP's 40th anniversary celebration. Objectives: - Establish the legacy of the Prizes as an initiative that evolved alongside sustainable development over the past 25 years. - Recognise The Nippon Foundation for the long-standing partnership with UNEP and their contribution to UNEP's objectives. - Present a consolidated view of the Prize's significant contribution as a catalyst and incentive for deserving socio-environmental initiatives by showcasing some of the more successful winners. - Celebrate UNEP's accomplishments in the past 40 years while positioning the organisation as the platform for a stronger environmental governance framework of the future. - Help raise the profile of Green Economy in the context of sustainable development and poverty eradication in the run-up to Rio +20 by leveraging the success stories and profile of selected past and present laureates. Format: - A high-level reception and gala dinner that will gather selected past winners, Ministers, Heads of Missions, other members of the diplomatic community, representatives of the civil society and other GC/GMEF delegates. - Theme: Sustainable Development: The Next Evolution, Lessons from the Past and Action for the Future - Guests: 500 to 700 high-level guests - Hosts: The Nippon Foundation/ Mr. Yohei Sasakawa and UNEP/ Mr. Achim Steiner Scope of work: 1. Gala Dinner Programme - Execution of concept and theme in all event components ( visuals, entertainment, set-up, stage design, dinner set-up, selection of MC, e.t.c) - Stage management & direction - Professional MC - Entertaiment - Programme run-time and script for MC - Video & photo documentation 2. Staging & Logistics - sourcing, coordination, set-up & dismantling - Tents, venue set-up, branding banners, floral arrangements, other decorations - Stage, backdrop, lectern - Stage and venue lighting - Wide screens on stage, AV projection systems - Sound system and programme music - Ushering & reception / operational staff 3. Reception & Dinner - Food and drinks (alcoholic and non-alcoholic) - Catering and dinner service - Dinner set-up, including linens and table centerpieces 4. Greening of the event - Adopting all necessary measures to ensure the event is environmentally friendly and following sustainability standards ( menu selection, decors, e.t.c)
