New clarification added: 6. Question: SB6: Terms; We note terms of payment 30 days after completion and delivery. Can this be modified? We work on 50% deposit with order and balance payable within 7 days of shipping documents submitted to client. All clients including our major clients like UNICEF, Save the Children, CRS, Pfizer, USAID, UNESCO etc work on this basis. In order to keep our costs and prices to a minimum, we pay all our suppliers and contractors with order. We neither offer credit or request credit terms, so we get great service and the best possible prices that we can pass on to our clients. Our mission is tosupply the maximum number of Speaking Books® to make the most difference to disadcvantaged and at risk communitiesAnswer: Payment will be processed upon achievement of the following activities and percentages;a. 50% should be paid when the text, illustrations and audio are all correct and agreed with the contractor and before the commencement of printing.b. 50% should be paid when the product is delivered with the agreed Incoterm (FCA or DAP).UNOPS shall effect payments to the contractor within thirty (30) calendar days of the date of receipt of the relevant invoice and subject to the acceptance by UNOPS of the services/goods reflected in the said invoice.7. Question: SB7; We note Delivery required DAP Incoterms UNOCA Compound Kabul. Can this be revised? For example, As the exclusive supplier of Speaking Books® to UNICEF, we have been instructed by UNICEF Logistics in Copenhagen not to ever supply any UNICEF site directly but only Incoterms FOB Shanghai. This makes sense as UNICEF and probably other UN organizations have their own and best logistic services to ensure no delays or problems with delivery into various countries. We are not sure we can guarantee no holdups or delays in being able to deliver to Kabul. Our last two orders for Polio Speaking Books® delivered to UNICEF Kabul were delivered to UNICEF agents in Shanghai to ensure the books were received timeously as required. Please adsise if UNOPS has a logistic service for FOB ShanghaiAnswer: The incortem has been updated to allow both FCA and DAP.8. Please extend the bidding submission deadline to Jan22,2020? Answer: The tender deadline is now extended from 18 to 29 January 2020. 9. What's the size of the sound module? Answer: It should be the same height of the book. 10. What's the total time of this book? Could you please send the sound files to us if possible? Answer: We do not have the sound files as they will be done when the text is completed. The time of the book will depend on the length of the story. . 11. Would you accept to open a new mold for this item? Answer: No, we will not accept different specifications than what is already stipulated in the solicitation documents. 12. Please offer the book specification, like Text Pages: 300 gsm paper +C1S+4/0+UV. Answer: Cover paper: 550 GSM Goethe with 130 GSM art paper lamination. Text paper: 150 GSM13. Please confirm duration time of the audio button? Answer: We do not have the sound files as they will be done when the text is completed. The time of the audio files will depend on the length of the story. 14. Can we please have a sample check prior to bid? If so, please confirm where and when we can have a sample check? Answer: No physical checking of sample audio storybook is available. An audio storybook sample is attached to the tender document for your reference.15. Further, your solicitation documents indicate that "Copywriters to review and improve the text of an already created storybook to fit the audio storybook in a creative and high-quality manner." does this means that the current text and paragraphs are subject to change as this has an impact on the bid/offer we purpose? Answer: Yes, the text and paragraphs are subject to change. 16. If the changes/improvements are not approved during the contract is the offer/bid subject to change as to adjust the cost? Answer: No, the offered prices are not subject to modify.

New clarification added: 1. Question: SB/1 - Speaking Books® are available in two sizes; Model B&C large 30cm by 29cm and Model F&G medium 27cm by 27cm. Both versions single or dual language. Any reason for requiring the larger and slightly more expensive version?Answer: We would like to maintain the same size (30cmx29cm) indicated in the solicitation documents.2. Question: SB2; Speaking Books® is not a generic term but rather the exclusive registered trademark of Books of Hope LLC trading as Speaking Books®. The design and engineering is the copyright of Books of Hope LLC. Will all suppliers have the permission to supply this order if their tender is successfu8l?Answer: The tender has been amended and the term is now rephrased to Audio Storybook. However the tender will still have the following requirement “If a Bidder does not manufacture or produce the Goods it offers to supply, he shall submit the Manufacturer’s Authorization using the form included in Section III: Returnable Bidding Forms (Form E) to demonstrate that it has been duly authorized by the manufacturer or producer of the Goods to supply these Goods in the country of destination”3. Question: SB3: It is noted that the draft text is 1720, when the usual and recommended total word count is 1000 - 1100 words in English. Will our copywriter be allowed to suggest a draft storyline for UNOPS approval around 1000 words? This will be done at no charge by Books of Hope LLC allowing up to 7 rewrites for UNOPS approval if our tender is successful.Answer: As indicated in section II SOR, contractor should have the flexibility to revise the text to fit the required sizes of the book with the condition that it fully communicates the required message “Copywriters to review and improve the text of an already created storybook to fit the audio storybook in a creative and high-quality manner”4. Question: SB4: Artwork for a Speaking Book® is required in high resolution in portrait format. If our tender is successful, will we be allowed to review all the artwork and either require alterations, or if not possible, redo artwork to our standard and at your cost? Maximum cost we will charge UNOPS for a complete redo of all artwork is $4500. But expect your artist to be able ensure all your artwork meets our requirementsAnswer: Yes, the contractor shall be allowed to review all the artwork and make alterations, with final approval from UNOPS.5. Question: SB5: We note the delivery requirement is end March 2020. Can this delivery date be extended? Please note the following time lines in creating a Speaking Book® to meet the exact requirements of any client; Text. Current text is too long and needs to be reduced. Our first draft will take 2-3 days after receiving your order. UNOPS will then need to review, comment and edit. This process can involve a number of rewrites and largely dependent on how quickly UNOPS approves and agrees the draft. Allow anything up to 4 weeks to complete the processTranslation into Dari and Pashto - this will be undertaken by UNOPS at your cost in country. This should then be checked by local experts to approve the translations. This can take a week or more.Audio recordings - under our guidance, UNOPS will record both languages with 16 separate files saved as MP3 and each correctly numbered to coincide with the 16 pages of text. Again this is likely to take UNOPS at least a week to organize and completeArtwork must either be supplied as required or following discussion with UNOPS agree what changes need to be made. Until we know exactly what is required, difficult to estimate how much time is requiredOnly when text, illustrations and audio are all correct and supplied, can we commence work on assembling the Speaking Book® print ready. At a minimum we would estimate 8 weeks of preparation work to complete all origination work. On receipt of final origination work we set up the book - (allow 1-2 weeks) print ready and submit to UNOPS a PDF of the completed book as well as a You Tube video for UNOPS to check and ensure it is 100% correct. Allow UNOPS a minimum of 1 week to check Assuming no corrections required, all material uploaded for production.Production takes minimum of 6 weeks to complete ready for shipping14-16 weeks min time from receipt of UNOPS order to completion, ready to shipAnswer: The delivery requirement has been changed to maximum 16 weeks to be ready to ship to Afghanistan and earlier delivery date is greatly encouraged.
