- High-Level Conference on “Inter-Parliamentary Cooperation to Prevent and Counter Terrorism in the Sahel region” on 14-15 November 2023
- “The Protection of Religious Sights and Symbols” on 16-17 November 2023

New clarification added: 1. For transportation, you request 100 transport Airport>Hotel, and 100 transport Hotel>Airport. Is it required to have 1 car per person? Or can we group participants according to their arrival/departure time, in cars or minibus? Can participants take the hotel airport shuttle?2. You request a room for 150 participants, but there seems to be maximum 120 participants (60 in U-shape, 60 second row). If the 60+60 capacity is exceeded, are there any requirements for those potential 30 extra participants?3. Do you have an estimate schedule for the meeting days? We need to confirm the daily workload for the technician and interpretation team.4. Looking at catering, you expect 50 persons on the 13th lunch time, 80 persons on the 13th evening, and 120 persons for each meal after that.For accommodation, we have 50 people checking-in on the 12th, 30 more (so total 80) on the 13th, and 20 more (so total 100) on the 15th.And for transportation, 100 persons arriving at the airport between 12th and 13th.Could you please let us know a bit more the details of the attendance we expect, as this is at the moment very confusing? For instance why plan for 120 participants for the meals on the 14th, if 20 participants are supposed to arrive only on the 15th?Answer was shared earlier.

New clarification added: Will all speakers speak in English, or potentially all of the 4 other languages?Will all speakers be on location in Doha, or potentially also remotely, through Zoom?Answer,1- The speakers will present in English, French and Arabic. Please prepare for simultaneous interpretation in all 5 indicated languages ( English, French, Spanish, Arabic, and Russian) as per the schedule of requirements.2- Some of the speakers will make presentations online through Zoom. If the hotel provides airport transfer, the supplier needs to arrange the logistics, i.e. agree on timing, and share the information with the hotel and participant. At this stage we need the cost per trip for 100 trips, however, the number of trips and further details will be shared 1-2 weeks in advance.2- We would like to accommodate an additional 30 meeting participants in the conference room. Grateful if you could ensure extra seating is available at the table or in the back of the room.3-We expect to hold the conference in 4 full working days, specifically November 14 -17, 2023. The Agenda of the event will be provided 2 weeks before the event.4- A confirmed number of participants will be provided before 2 weeks of the event. We potentially included an additional 20 meeting participants ( total of 120 persons starting November 14-17), because experts, facilitators, and other persons might have their own arrangements for accommodation. New clarification added: Hello We have two different questions to ask. 1. Could you please advise if it is acceptable to quote only for the room and meeting rooms? We do not offer printing or translation services. You can outsource these two services. As a 5 star property, we do not prefer to offer them according to hotel rules.2. As an event management firm, we have affiliations with several hotels in the same area, all of which are interested in submitting a bid to us. How can we provide a different offer to this platform?Answer,1- UNOPS is looking to award the contract for all required services to one (1) supplier. Therefore, you should submit a quote for all required services. 2- Please ensure that the offered hotels are 5-star hotels and meet the technical criteria in Form C: Technical Bid Form. As for the financial quote, you should submit a quote for each hotel. Please ensure to mention the hotel name on the top of each financial table. Regards,UNOPS Procurement

Please refer to table No. 02 (page 6)2- The unit price for printing services should reflect the unit cost for each quantity mentioned in Table No. 3 under Form B: Price Schedule Form (page 6). the total price should be reflected in the total column.3- The unit price for the transportation should reflect the cost of one (1) transportation in column (B), and then the total should include the total cost of 100 trips.
