The Conference and Facility Service Coordinator contributes to, under the supervision of the HQ Building Manager, some of the following assignments;
1. Conference function
a. S upporting organization of workshops and conferences
b. Contract and Vendor Management
c. Monitoring and Analysis, and Customer Relationships Management
d. Promotion and Collaboration Support
e. Perform other duties as assigned by supervisor
2. Facility function
a. Provides and oversees efficient and effective facilities services
b. Develops, implements, and oversees renovation projects and preventative maintenance programs
c. Manages and improves contractual agreements with tenants and external vendors
d. Analyses relevant data and utilize insights for more value-added services
e. Perform other duties as assigned by supervisor
Technical Specifications:
• Required experience and skills are;
o Secondary education with 3 years OR Bachelor’s degree with 1 year of progressively responsible related experience in the conference services, event management, maintenance and operations of facilities, or related services is required.
o Knowledge of excellent computer skills and proficiency in Microsoft Office Applications (MS Word, Excel, PowerPoint, and Outlook)
• Desired experience and skills are;
o Knowledge and working experience in an international environment, especially with the United Nations system and/or a university, and in collaboration with diverse stakeholders, including government agencies, international organizations, and NGOs
o Experience in managing performance-based service contracts, repair/maintenance of the conference facilities, and renovation projects of high dollar value complex contracts
o Proven ability to manage Enterprise Resource Planning (ERP)
o Initiative, strong conceptual abilities, sound judgment, drafting ability, resilience, and an interest in development work
• Language Requirements
o Fluency in English and Japanese is required
