Description
Establishment of LTAs for Event Management Services in the Middle East Countries.
Based on the results of this competitive bidding exercise, UNOPS intends to enter into non-exclusive multiple Long Term Agreement(s) (LTAs) with the successful Bidder(s) for the Provision of Event Management Services in the Middle East Countries for an initial period of 3 years extendable for another 24 months subject to satisfactory supplier performance.
Bidders in each of the lot countries can apply with no restriction, as long as they have legal and commercial registration in each lot country.
Multiple LTAs will be established as a result of this process.
To guarantee that the lowest priced services are achieved UNOPS will run a secondary bidding process among the LTA holders. For this process of secondary bidding, the use of RFQ is mandatory, after evaluation of the offers and identification of the lowest-priced technically acceptable bidder amongst the LTAs' holders, an order can be issued directly to the recommended LTA holder.
Remark: Women business owner is encouraged to submit bid.

This additional time will allow us to conduct a more thorough review of the project requirements and prepare a comprehensive proposal.UNOPS Answer: UNOPS has decided to extend the tender submission deadline due to end of year holidays. New clarification added: Question 1: if a bidder can only apply for specific country or they has to apply for the followng lots?UNOPS Answer: please note that the tender contains the following lots: Lot 1 : Event Management Services to cover events in The Middle East Countries (except Iraq and Yemen).Lot 2 : Event Management Services to cover events in Iraq.Lot 3 : Event Management Services to cover events in Yemen.Bidders in each of the lot countries can apply with no restriction, as long as they have legal and commercial registration in each lot country. Question 2: in Joint Venture Partner Information Form if company is owned by a single owner then how we will add the information?UNOPS Answer: Please note that the company should have a valid registration in the lot country. New clarification added: Question 1: The document says 210 events per year or over the span of 3 years?UNOPS answer: with reference to ITB_Section_II_Schedule of Requirements- Event Management TOR, the total number of events during the last 3 years (2022 - 2024) in UNOPS MR Amman were 210 events in the Middle East.Question 2: The document has 4 different cities can we get a breakup by number of events per country/cityAmmanBaghdadSanaa – YemenAden YemenUNOPS answer: We do not limit our focus to specific cities, as we have the flexibility to organize events or procure services in accordance with TOR requirements in any location or city within the mentioned countries and the broader Middle East region. The number of events held over the past three years, categorized by different lots, is as follows:Iraq: 59 EventYemen: 61 EventMiddle East ( Including Jordan ): 90 EventScenarios included in (Form C- Price Schedule), mentioning certain cities, are created for evaluation purposes.Question 3: Is the Event budget tentative or is it fixed?UNOPS Answer: The event budget included in the solicitation document (Form C - Price Schedule) are for evaluation purposes only, as the ranking of bidders will be determined based on the total amount of each LOT (SF + HF). Purchase orders with the actual events values & requirements will be issued based on the Long Term Agreements signed with the awarded suppliers.Question 4:in Form C: Price Schedule FormLot 2Last table: Total service fees (SF + HF)Last row: Total fees for event (USD)shall we only mention total service fees amount, or total service fees + event budget amount ($540,000)and does this amount applied also on for B: Bid submission form line "C"UNOPS Answer:As indicated in form C - price schedule, Bidders should provide their total service fees (SF+ HF) in the last row, without the event budget amount (550,000 $). New clarification added: Question: With regard to the requirement for Audited Financial Statements for the last five years, could you kindly clarify if the absence of this document would result in the exclusion of the service provider? Additionally, are there any alternative documents, such as a bank account statement or other financial records, that could be submitted instead?UNOPS Answer: Audited Financial Statements for the last five years must be submitted as per the requirements included in esourcing, in order to avoid supplier exculation. No alternative document can be accepted.
