Description

The purpose of this Request for Proposal (RFP) is to enter into a contractual agreement with a successful bidder and select a suitable contractor for a one year period (starting August/September 2024) to provide administrative and operational support to the planning, implementation, and monitoring of the “Sustainability Project”, ensuring the achievement of Project goal, objectives, and deliverables within the specified timeframe and budget.

Responsibilities:
The consultant will undertake the following tasks:
• Prepare the required procurement processes, in compliance with the UNAIDS rules and regulations and the USAID provisions for TSM grants, ensuring that timely contractual agreements and any required amendments with implementing partners and vendors are in place.
• Support the preparation and processing of required documents for country-demanded technical assistance through TSM, ensuring adherence to TSM Operational Processes.
Monitor implementation and disbursement of funds in alignment with the relevant work plans and support remedial actions as required.
• Keep abreast of donor requirements and advise Project team on compliance issues.
• Working closely with the Project team, support meetings and knowledge management initiatives and ensure adequate filing of Project-related documentation, workplan and budget allocation and expenditure trackers, preparation and distribution of relevant materials and meeting reports, follow up on agreed action points, and advising on and supporting further communication and action as required.
• Draft general correspondence, coordinate quality assurance and clearance.
• Collaborate with the administrative staff in the global Practices, Finance, TSM, Regional Support Teams, and Country Offices contributing to streamlining processes and improving efficiencies.
• Liaise with editors and external graphic designers, as well as implementing partners whenever needed, for contractual agreements.
• Prepare travel requests as needed
