Please find below questions and clarifications received from potential Bidders
In looking at the specifications, as usual, most of it looks to be boiler plate that might never be used. The problem is that they're asking for it when they might not realize that it's mostly a la carte items.
For example:
• VoIP is a features that our systems are capable of using but if someone is not using VoIP phones or phone lines, then why add the card and add expense? The truth is that most people think of VoIP as the dial tone that they get from their modem. That's not VoIP. That "was" VoIP before it got to the modem but once it's handed off, it's analog. So people ask for VoIP and then it doesn't work. So - it's best to get a clarification using language like this:
1- Question number 1- "Are your phone lines analog?" and
Answer – The phone lines are Digital
2- Question number "Are your telephone extensions (the device that goes on the desk), digital or IP?
Answer – yes for the extensions we meant the devices that goes on the desk are digital too
3- Question number when transmitting messages via the Internet, do you mean sending voice mail messages that were received on your voice mail machine to the recipient by way of an emailed attachment?
Answer Here we do not mean the messages should be sent like an email attachment
4- In their glossary, they seemed to be saying the same thing twice when they list "Call Logging" and "Call Management System." The actual name for this is Station Message Detail Reporting (or SMDR) and is a feature whereby the PBX spits out Call Detail Records each time an inbound or outbound call is completed. That feature is built into every Panasonic system. The user can plug a serial printer into the RS232 port and print out all calls. Or, they can purchase software that will capture the call records on a PC thereby allowing them to sort the calls, print them in report fashion and then archive them. One way is free. The other way is not. We should probably ask how they intend to use it.
Question- Voice Mail (what they are calling Message Recording) is sold by the port - 2 ports at a time (2-ports, 4-ports or 6 ports) for our smaller units and then 4 ports at a time for our larger units (up to 24-ports). Each simultaneous message being left requires a port. Also, whenever someone is checking their messages, a port is being used. So - 3 people just checking their messages first thing in the morning are using up 3 ports of a 4-port Voice Mail System, which only leave room for 1 more person to leave a message. So - with this in mind, we need to know how many ports they realistically need.
• Answer It should have two ports for the voicemail facility
Question 5- what type of extensions do you require? IP, Analogue or Digital
Answer - Digital
Question 6- And how many VOIP lines do you need the PABX to carter for
Answer- two ports for VOIP
Question7 - how many extensions in total will you be needing?
Answer - The PABX should be expandable up to 40 users and the handset extension receiver phones should be 15
