Q: A)Section 2. Specific Objectives of this Request ……
Item: b. Facilitate audience entry into Henry LaBouisse Hall from UNICEF Lobby.
•Please clarify your needs. This has always been supplied by UNICEF. We are more than glad to supply people if in fact you need this.
A: UNICEF will provide the volunteers to assist with this. Selected vendor is expected to help guide and co-ordinate these volunteers, as they may not be UNICEF staff.
Q: Section 3. Specific Deliverables
Item: G. If available, incorporate the portal (provided and managed by UNICEF) into the margins of the event. (portal will be open before and after the event)
•Please clarify the meaning of “incorporate the portal into the margins”
What is the “margins”? Is this the internal UNICEF/UN video conferencing portal for viewers in Iraq?
Will UNICEF be sending out video, bringing in video or both & what do you need from us, seeing that you are providing the video and your internet. We can do anything you need but have to know what the expectation is.
A: With guidance from event project lead and help from UNICEF IT Division, selected vendor is expected to support with advice on placement and connection of a “portal” (a portable floor-to-ceiling screen used to digitally engage with people remotely via Skype, provided by a separate vendor) one hour before and two hours after the event. Engagement with the portal provider will be minimal. Running of the portal (hardware, connectivity etc) is not the responsibility of the selected event management vendor, however, coordination is necessary to enable smooth running of the event.
Q: As I understand your needs to keep the budget as low as possible the question will be, do you need more than the UNICEF video monitors i.e. UNICF video projection and do you have a screen or will we need to bring one in?
If you have small type on the screen that needs to be read, we need to go to projection. Totally different layout for the front of the room.
A: We should be able to make do with existing UNICEF monitors (2x large LCDs) and projectors. We have a screen, or could project against the back wall, which is painted white.
Q: You mention a “UNICEF Goodwill Ambassador and Singer". Will that person or anybody be singing?
A: No singing or performances.
Q: If any other bidder has questions, will you send all questions and answers to all bidders?
A: Yes.
