REQUEST FOR PROPOSAL: RFP/2017/867 FOR THE PROVISION OF MANAGED PRINTING SERVICES IN GENEVA, SWITZERLAND AND BUDAPEST, HUNGARY

HP brand is currently UNHCR standard for multifunction and stand-alone printing, copying, and scanning equipment. The purpose of this Request for Proposal is to enter into a contractual agreement with a reliable partner to implement and maintain existing end-to-end HP managed print services for UNHCR Headquarters (HQ) locations, Geneva (one site, MBT) and Budapest (two sites, BSC1 and BSC2), located as follows:

-        UNHCR HQ Geneva, MBT,: 94 Rue de Montbrillant, 1202 Geneva, Switzerland

-        UNHCR HQ Budapest, BSC1, Ipoly Utca 5C, 1133 Budapest, Hungary

-        UNHCR HQ Budapest, BSC 2, Nepfurdo Utca 22, 1138 Budapest, Hungary

The successful vendor will provide the delivery, management, service break-fix, maintenance, user training materials and visuals, print consumables supplies (excluding paper) as well as on-site support and/or on-call support as per modalities described below.

The managed print services may be expanded to other UNHCR locations. In that respect, vendors should also demonstrate their capacity to extend the full package of managed services offering to other UNHCR office locations worldwide. While the proven capacity to extend managed print service to other UNHCR operations worldwide is part of the requirements of this RFP, the actual extension beyond the above listed HQ locations sites is not part of this RFP. All bidders are requested to list in Annex A6 the countries where full HP managed services including on-site support can be provided.

In addition to the overall management of the current managed print environment, the contract shall set forth the framework for the following solution oriented objectives:

-           Standardization and modernization of the UNHCR print fleet, including implementation of new cost effective technologies

-           Secure (badge) printing, follow-me pull printing in all locations

-           Guest (non-badge holders) printing

-           Support for Windows 7, Windows 8, Windows 10 and future releases

-           Support for Apple IOS 10.x and future releases

-           Optimization of the fleet based on usage and/or print efficiencies

-           Reduction of energy consumption

-           Harmonization of consumables’ supplies and recycling

-           Life Cycle management and all-inclusive print fleet refresh

-           Meeting evolving business requirements

-           Disengagement of UNHCR ICT resources from all support tasks

-           Harmonization of the interface with UNHCR ICT managed services at the network and platform levels

-           Standardization of print drivers and their deployment in UNHCR environment

-           Active monitoring and preventive / proactive troubleshooting for the UNHCR print fleet

-           Promotion and advocacy for energy saving and carbon foot print reduction, through raising staff awareness and/or promoting print efficiencies.
