Sound, Lighting and Projection Support at the UNICEF PFP Fundraising Forum
The objective of this Request for Proposal (RFP) is to solicit proposals for provision of sound, lighting and projection support at the UNICEF PFP Fundraising Forum event and ultimately enter into a contract for the next 3 years.
BACKGROUND INFFORMATION
Since 2001, UNICEF PFP has organized an annual forum for approximately 450 participants. It takes place in spring, usually in the Month of March and lasts about 4 and half days, Monday to mid-day Friday. The location is different each year and takes place somewhere in Europe. Previous events have taken place in locations such as, Italy, Spain, Turkey, Czech Republic, Budapest and Greece among others. Final decisions for the location and dates of future events take place about 6 months prior to the event period, i.e. in September the year before the event.
SCOPE OF WORK
For this event UNICEF requires each year material and technical support for sound, lighting and projection.
Please note that UNICEF brings to the event two in-house technicians to support the on-going breakout sessions during the event. From the vendor’s side, we consider that two permanent technicians are required during the week to assist the plenary sessions and the streamed sessions. These two sessions run sequentially and the two technicians are the same for both. A third technician should also be available to give on-going support to the remaining rooms in case of problems with sound or faulty equipment.
The object of this RFP is to sign a contract for fixed technical support and material charges to cover the next three PFP forum events over the coming three years.
