Dear Madam/Sir,

 

Please find hereafter additional ITU answers to the clarification queries duly submitted in the framework of the Call for Bids PROC-AB-7202-10-TLC for the “Provision of Registration Services and Equipment for ITU Telecom World 2011”:

 

1.    BIDDER QUERY: Do you want attendees to be able to select conference sessions they wish to attend at the time of registration?

ITU ANSWER: It is requested not the choice between all the sessions of the conference but only networking activities in which they wish to participate.

2.    BIDDER QUERY:  Do you want attendees to be able to book hotel rooms through the registration system?

ITU ANSWER: It is not foreseen.  

3.    
BIDDER QUERY:  We have a module to facilitate the management of ‘exhibitor’ tasks (i.e. registration of personnel & passes, AV requirements, Stand design, ordering of lead retrieval devices etc). Is this something that would be of interest? If so, how many exhibitors will there be?

ITU ANSWER: Registration of personnel and passes and ordering of lead retrieval devices are part of the Call for Bids.  

4.    BIDDER QUERY:  How many Lead Retrieval devices might be needed? Will these be available to National & Regional Pavilions, as well as the Smart Living Pavilions?

ITU ANSWER: We shall have a number of office suites, National and Thematic Pavilions participants (show floor)  as well as Forum participants. We expect 100 to 200 companies to be present on the show floor (these figures are indicative only and ITU cannot guarantee them).   

5.    BIDDER QUERY: Do you require Photos on the badges?

ITU ANSWER: No, but Bidders are allowed to propose, as an option, offer for this as a separate attachment. 

6.    BIDDER QUERY: Do you expect the successful bidder to provide all laptops as well as badge printers and other equipment, or is this something that would be managed through ITU?

 ITU ANSWER: Bidders are allowed to propose, as an option, offer for laptops as a separate attachment. Badge printers and other equipment are part of this Call for Bids (please see articles 4.4, 4.5 and 5).

IMPORTANT NOTICE:

the ITU inform you of the extension of the deadline for proposal submission in the framework of the Call for Bids PROC-AB-7202-10-TLC for the “Provision of Registration Services and Equipment for ITU Telecom World 2011”.


The proposal must be received at ITU Headquarters in Geneva on or before Monday 28 February 2011 at 15h00 hours (Geneva time) at the latest.

ITU answers to the questions submitted by interested companies will be provided as soon as possible.

The International Telecommunication Union (hereinafter referred to as the "ITU") issues the present Call for Bids for the Provision of Registration Services and Equipment for ITU Telecom World 2011. 

 

 

 

 

 

With this Call for Bids ITU intends to engage, in accordance with its rules and procedures, a service provider to perform and provide all or part of the requirements, services and equipment, specified in the Terms of Reference of the present Call for Bids (Part III), including provision of registration software, registration equipment, information on attendee tracking, badge readers, and management and coordination of the registration services.
